Racing Drives connects drivers and race teams. This policy explains what information we collect, how we use it and who can see it.
Who is responsible for your information?
Racing Drives Ltd, based in the United Kingdom, is the controller of personal information used to operate Racing Drives. For privacy questions or requests, email hello@racingdrives.com.
Information we collect
- Account details: your name, email address, account type, sign-in credentials managed by our authentication service, membership status and account activity.
- Private verification details: mobile and optional WhatsApp numbers, a team representative’s name and job title, their authority confirmation, and optional driver social profile links. We also record profile submissions, review decisions and related support correspondence.
- Marketplace information: driver experience, FIA grade, racing category, region, availability, career summary and any budget information supplied; team descriptions; and seat adverts, including championship, car, dates and programme details.
- Interactions: enquiries and messages, shortlisted items, saved searches, notification records and requests sent to our support team.
- Choices and technical records: terms acceptance, newsletter choices and their timestamps, together with IP addresses, browser/device information and operational logs processed by our hosting, security and authentication services.
Most information comes directly from you. Other members provide information when they contact you or report an issue. Verification may involve reviewing public racing results, team websites or social profiles you provide; we use these only as relevant to reviewing the account.
Fields marked as required are needed to create and verify your account or deliver the feature you request. Without them, we may be unable to provide that feature. Separate WhatsApp numbers, driver social links and newsletter subscriptions are optional. Please do not submit medical records, identity documents or other sensitive information unless we have explained why it is needed and how to send it securely.
Why we use information
- Providing your account and marketplace features: to fulfil our agreement with you, including sign-in, profile submission, membership access, shortlists, enquiries and service notifications.
- Verification, safety and support: our legitimate interests in checking that accounts are genuine, preventing misuse, investigating problems and keeping the service reliable. For team representatives, this includes administering the team’s account.
- Newsletters: your consent when you actively choose to receive them. We record the choice and wording shown. Choosing “Not now”, or making no choice, does not subscribe you.
- Compliance and records: legal obligations where applicable, and our legitimate interests in maintaining evidence of agreements, consent, review decisions and resolving disputes.
Driver publication requires an explicit submission and publication permission. Approval and membership rules determine how the submitted information is displayed.
What other members can see
Approved recruitment profiles and seat adverts are displayed under our membership access rules. Free previews contain limited information; eligible Pro members can access identities and fuller recruitment or programme details. A Free recipient of an enquiry receives a limited teaser, with identity and detailed conversation access gated by membership.
Your signup mobile and WhatsApp numbers, private verification contact details and optional driver social links are not displayed to other drivers or teams. Authorised Racing Drives admins can use them for verification and support. Our service providers process information as needed to operate the service.
Messages are intended for the participants and are subject to membership access. Authorised staff may access relevant information to provide support, investigate abuse or meet legal obligations. Do not put personal contact details into public profile descriptions. If you choose to share details in a conversation, the recipient will receive them when permitted to access that conversation.
Once you move a conversation off Racing Drives, the other party is responsible for its own handling of the information you share. This policy does not cover other members’ businesses or external websites.
Newsletters and service emails
Newsletters will include race seats, driver availability and marketplace news relevant to your role. They may be tailored using your racing interests, region and membership. Newsletter delivery is not yet active; the email preference on your approved profile records your choice for when it becomes available.
You can withdraw newsletter consent at any time by emailing hello@racingdrives.com. When newsletters launch, every edition will include an unsubscribe link that does not require sign-in. Withdrawal does not affect the lawfulness of earlier processing. Essential account, security and review notifications are separate from newsletters.
Service providers and other recipients
We use Supabase for authentication, database storage and backend functions, website hosting and security providers to deliver and protect the site, and email service providers for account notifications and support. Our receiving mailboxes currently use Zen/cPanel. These providers process the information needed for their services. We may also share relevant information with professional advisers, or authorities when legally required or necessary to establish or defend legal claims.
We do not sell private verification contacts or make them available as member contact lists. Paid checkout is currently closed. Before opening payment processing, we will update this notice with the payment provider and billing information involved.
International access and processing
Racing Drives serves an international membership. Information you publish or send may be accessed by eligible recipients outside the UK. Technology providers may also process information outside the UK. The applicable provider locations and contractual transfer arrangements are being documented as part of our launch review; contact us for information about a particular provider or transfer. We will update this section with the confirmed countries and applicable safeguards before public launch.
How long we keep information
We retain account and marketplace information while it is needed to provide your account and requested features. When an account closes or information is no longer needed, we assess it for deletion or anonymisation. Factors include open enquiries, unresolved complaints, legal obligations, security investigations and the need to establish or defend claims.
Consent and terms records are retained while needed to demonstrate the choices made. An unsubscribe request may require retaining a minimal suppression record so that you are not added back to a mailing list. Technical logs and backups follow the relevant provider’s retention arrangements. Contact us for information about the retention of a specific record; we do not promise immediate removal from all backups.
Cookies and security
We use authentication and security cookies or similar storage to maintain sign-in and protect the service. The current build does not include advertising trackers. Any future optional analytics or marketing tracking will be explained, with consent requested where required.
Access controls separate private records from marketplace data, and membership restrictions are enforced on the server. These measures reduce risk but cannot guarantee that every transmission, recipient or device is secure.
Your rights
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You can object to direct marketing at any time, and to processing based on legitimate interests where your circumstances justify it. Contact hello@racingdrives.com; we may need to confirm your identity. You can also ask us to stop displaying your recruitment profile.
You can complain to the UK Information Commissioner’s Office, or your local data-protection authority where applicable. You do not have to contact us first.
Automated processing and changes
Search filters and membership checks control matching results and access to features. Profile approval is reviewed by admins. We do not use these features to make solely automated decisions with legal or similarly significant effects.
We will update this notice when our practices change and bring material changes to members’ attention. This notice explains our use of information; it does not turn newsletter consent on or replace your separate choices.
